Background of Pentz Property Administrators

We believe in a high standard of service, not only on the administrative front but proactive management of the Body Corporate. We believe in good corporate governance and assisting the committee members to be regularly informed of the Sectional Titles Act and any amendments thereto.

Pam Daneels spent many years as a financial manager before branching out to sectional title administration. Her good administrative skills ensure the body corporate and its finances are run with the strictest control. Pam is passionate about the properties she serves and believes in offering a proactive approach so that trustees can make their decisions and planning easier. She is very aware that all trustees hold full time positions in their own right and need the assistance of an administrator that will make the fulfilling of their fiduciary duties easier. We believe in effective communication to all owners and residents on an ongoing basis as this helps to ensure that rules are adhered to, as well as promoting a harmonious living environment for all.

Services include

Pentz Property Administrators residential property management service covers the full management requirements of Sectional Title Bodies Corporate and Home Owners Associations (HOA's), and consists of the following features:

1. The invoicing/collection and receipting of all levies and or any other income due to the Body Corporate and the recording of such.

2. Statements are sent out via email to all owners monthly. Where an owner does not have email the statement will be posted

3. Payment of all accounts due by the body corporate on a monthly basis.

4. Submission to all trustees of a monthly financial report as well as an aged debtors balance.

5. Ensuring the mandate of the body corporate is adhered to in exercising effective credit control. Liasing with attorneys on all handed over accounts.

6. Liaison with the appointed auditors to ensure financial statements are completed timeously for the Annual General Meeting

7. Advising and controlling excess funds, to ensure the best interest rates are achieved by means of a call account.

8. Preparation of an annual budget and ensuring a 5-year projection of all major expenditure is included in the annual budget.

9. Advising and communicating all changes in the Sectional Titles Act and assisting the committee members with the management of such legislation and the rules.

10. Arranging the Annual General Meeting and trustees meetings . This includes attending these meetings and the recording of the minutes thereof.

11. Ensuring all statutory payments such as tax, UIF, PAYE (where applicable) are made timeously

12. A full financial assessment on take on, inter-alia owners in arrears, budget vs actual

  • Assessment of maintenance plans
  • Assessment of Municipal charges on the common property.
  • Assessment of insurance cover/fire fighting equipment
  • Assessment of compliance to relevant legislation

13. A detailed expenditure statement in terms of all telephone and post and petties is submitted monthly.

14. Banking options offered:

  1. Use of a preferred own banking account which is reconciled monthly.
  2. Use of Property Principals Trust Account

15. Assisting owners with insurance claims and ensuring the committee members are kept informed of the claims/loss ratio.

Management duties

1. Inspections of the common property at least once a month and the reporting of any urgent maintenance issues and any transgressions of the rules.

2. Recruitment of all service providers. Liasing with such providers to ensure all commitments made by them to the body corporate are met.
